When buying a new photocopier in the UK, what do you look for? Most people just refresh what they already have and not explore what it benefits it truly offers them. In this blog I will pick out some points that could save you time or even reduce the need to take on extra staff in your office.

  • 1. Automatic Document Feeder (ADF)
This one is simple, the top feeder that scans your originals to copy or scan is a massive benefit to your MFD. At Copier King, we add these to a machine as standard but sometimes the photocopier manufactures can make different versions. For instance the entry level is the recirculating ADF, this will take a sheet of paper pass it over the scanner and if you wanted to take a reverse side of the same sheet, it would pull it back in and scan the 2nd side. If time saving is what you require, most photocopier manufactures now produce a "dual scan" auto document feeder, it works much the same as the first option but only needs one pass to make the same double sided document, the manufactures have smartly installed a second scanner in the housing, this one pass system insures less jams and they can increase the speed of which the ADF scans at, so machines will scan at a massive 200 pages per minute. So if you are doing a lot of scanning or time is key, this is one upgrade that spending a little more can give you a lot back!
  • 2. Duplex Printing/Copying
I won't harp on with this option, it's more a little nudge for you to half your paper spend. A simple print driver change will ensure your staff will be printing double sided and with paper costs doubling in the last few years don't overlook this simple way of halving your print costs.
  • 3. Multi-Functionality
We all still call it "the photocopier" but in truth, the primary function of this machine is now firstly, a printer, secondly, a scanner and followed up by its namesake the photocopier. Its amazing how many offices still have all 3 devices split down with separate bits of equipment when the "photocopier" truly can carry out the task just as well or if not better at a cheaper on-going cost. Why buy a stand alone scanner, space is always at a premium in an office so why have another bit of equipment on the side, as mentioned in the ADF guide, copiers can now scan at a speed of 200 pages per minute and at a resolution that will make a postage stamp low up to a billboard. Printers, the photocopier is always the cheapest way of printing but i will take a bet in your office, there is an HP printer on someone's desk which will be syphoning money when you need to buy a new printer cartridge for it, these "desktop printers" quite often cost anywhere between 3 and 7 times more expensive to print something off, if the reason is privacy to have it, read "point 5" about secure printing.
  • 4. Cloud Integration
Internal servers have become less of a thing taking up all the room in your junk cupboard due to the flexibility of Cloud servers taking the lead. This has meant the photocopier manufactures have had to play catch-up with the integration, weather you use Google, Dropbox, BOX, Microsoft and so on, your photocopier manufacture should have an app that will integrate with your system so you can scan or create documents and sent them straight to the cloud.   • 5. User Authentication and Secure Printing
Now this goes back to this being mentioned in an earlier point, this is one reason why you should throw out all of your expensive desktop printers. If there is one person in the office that needs to print confidential stuff, this option is already 99% of the time already on your existing photocopier and you didn't know it. This option ticks a lot of things to maintaining your GDPR responsibilities, in the print drivers there is probably an option called "secure print" or something to that degree, this will let you send a print to the copier and you choose when to release the print from a list, this can be using a code for extra security. Using this will also stop everyone's documents getting muddled or put to the side meaning it gets reprinted.

User Authentication, this mostly gets used in a public environment when you need to lock the printing down, it is also useful for accounting and tracking who is printing what. As mentioned before this is probably on your current photocopier and it's easy to setup, got to youtube and search either User authentication or Secure Print for your copier Manufacturer.

  • 6. Customizable Job Presets
Yet another thing that will already be on your photocopier. Customizable Job Presets will save you time and stop 3 or 4 people all congregating around the copier to make it double side and sort into sets. Again this is another one to youtube as it is simple but every copier Manufacturer route through will be slightly different. But if you run the same job but can't remember what worked the time before, simply set a preset button, most copiers have more than just one preset so if you have ten different jobs, preset them and name them things like "double sided booklet" "single sided A3" etc etc.
  • 7. Mobile Printing

A firm favourite for any tech head, from your mobile phones to apple ipads and android tablets, you can print to your copier, if you are connected on the same network just select "print" and your device should find all discoverable devices to print to.
